Are You Ready For a Site Visit?

You want to be sure that you are ready when you request a site visit for many reasons. Once your site visit has been confirmed you cannot cancel the visit without adequate notice. Also, requesting a site visit before you are really ready can result in accreditation status being denied.  The onus is on the child care service to have all of their evidence organized and available for the site visit. So ask yourself the following questions before calling or submitting for a site visit request:

  • Are all of the Self-study Guide steps complete?
  • Do you have all of the completed documents outlined on the Site Visit Request form?
  • Have your parents, staff, and board members signed the Consent forms?
  • Have you compiled all of your evidence for your portfolio? If many of your documents are located off site, inform the Field Coordinator in advance.
  • Have you updated your QEP to include any updates and comments on progress towards your goals?
  • Do you think that you are meeting the ACCAP Quality Standards based on your self-study goals and achievements? 

Remember that you must be substantially meeting all 10 standards to achieve accreditation. 

You will be given an Evaluation form by the Lead Validator to complete at the end of the site visit which needs to be returned to our office within 48 hours of the completed site visit. Your materials will be sent to the Moderator once this feedback  is received in our office. This feedback is to help AELCS evaluate our performance and that of the validation team. It also means that we can address any concerns about the site visit prior to any information going forward to the Moderator or Governing Council. The feedback we receive on this form has no influence on the decision, as it is never seen by those who make the decision.

For those child care services that anticipate requesting a site visit in the near future, please read the following update as there have been changes to our process due to the large influx of site visit requests.

Please Note: For those programs who have already submitted a request, we will process them as usual.

If you have not submitted, we now ask that you submit the following documents and keep the rest on-site to be submitted when the Validators arrive:

In order for your site visit request to be considered complete, you must submit:

• Updated QEP
• Room Schedules
Site Visit Request Form (new)

Once we have your completed request, we will send you confirmation by email and regular mail that we have received your request. You will be informed at this time of the month in which your visit will be take place, but you will not be provided the exact date.

The Site Visit Coordinator will contact you as your site visit date approaches (e.g. if the date is slated for October, expect to hear in September) to start setting up your team and confirming dates.

At the time of the site visit, it is your responsibility to ensure that there is one completed copy of all of your self-assessment checklists with everything on it as per the items listed on the site visit request form.
